Stats Reporting - Best Practices & Guidelines

  
General Recommendations
  • Communication is key. Communicate internally and with your opponents to ensure smooth stat reporting.
  • Get to know the NCCAA Member Help Center. Read instructions and watch how to videos at www.thenccaa.org/helpcenter.
  • Ask for help if needed. Utilize other SID’s, coaches, and the national office for help on issues you are experiencing.
  • Commit to make it happen. Your compliance with stat reporting impacts your school, your opponents, and the credibility of the national statistics report.
  • Use video. Having video of every game ensures a back-up plan to record stats when the responsible school does not follow through.
  
General Best Practices & Guidelines
The host, or school deemed responsible for recording and submitting stats, should:
  • Send necessary game files to the opposing team within 1 hour after the game, but no later than 24 hours.
  • Submit the .xml game file to the NCCAA within 1 hour after the game, but no later than 48 hours.
  • Provide 48-72 hours’ notice if unable to provide stats, so both schools can develop a solution. For example, if there are multiple games going on and you can’t staff them all, ask the opposing team to help. Be certain there is an understanding of who will submit the .xml game files.
If the visitor, or school deemed not responsible, desires to have the game file submitted to the NCCAA sooner than 48 hrs, they should:
  • Have prior communication with the responsible school to determine their timeline of when the game file will be submitted.
  • Offer to assume responsibility of submitting the official game file to the NCCAA.
  • If the responsible school agrees, you are permitted to submit the official game file to the NCCAA. The official game file is what the responsible school sends you following the game. You are not permitted to submit your own file.
    Note: Schools who are SIDEARM clients may have their stats automatically sent to the NCCAA website after uploading the game file to their website. The file they upload must be the official game file from the responsible school. There may be some instances where SIDEARM clients upload the file before the responsible school. As long as it is the official game file, this is permitted.
  
Is Recording Stats by Hand During Games Allowed?
  • Yes, but it’s strongly encouraged to record stats with an approved program (DakStats, Genius Sports, PrestoSports, StatCrew).
  • You should still submit an .xml game file to the NCCAA within a 1 hour after the game, but no later than 48 hours.
  
Games Between NCCAA Members
  • The host is responsible for recording both teams’ stats & submitting the .xml game file to the NCCAA.
  • Both teams cannot upload an .xml game file.
  • If there are concerns with the host school recording or submitting stats, it is acceptable for the visiting school to record both teams’ stats and submit to the NCCAA if agreed upon between both schools. However, schools should not repeatedly rely on visiting schools to record stats. Host schools should make every effort to follow through on their responsibility to record stats.
  • If the game is between NCCAA DI & DII member schools, the both schools must follow the instructions for this at www.thenccaa.org/helpcenter under “Uploading .XML Game Files.” **Both schools must submit the .xml game file.**
  • If one school counts the game as a scrimmage and the other counts it as a regular season game, the responsible school must follow the instructions for this at the "Stats Reporting" page under “Uploading .XML Game Files.”
  
Games Against Non-NCCAA Members
  • Whether home or away, it is your responsibility to submit the .xml game file to the NCCAA.
  • If you are hosting, you should record both teams’ stats yourself.
  • If you are visiting, you should obtain the .xml game file from the opponent, or record stats yourself if they are not.
    Note: You will need to confirm your opponent is using an NCCAA approved stat program, then follow the upload instructions for that program, including manipulating the file if needed, at www.thenccaa.org/helpcenter.
  
Games Against NCCAA Associate Members
  • Whether home or away, it is your responsibility to submit the .xml game file to the NCCAA.
  • If you are hosting, you should record both teams’ stats yourself.
  • If you are visiting, you should obtain the .xml game file from the opponent, or record stats yourself if they are not.
    Note: You will need to confirm your opponent is using an NCCAA approved stat program, then follow the upload instructions for that program, including manipulating the file if needed, at www.thenccaa.org/helpcenter.

Tournament Games / Tri-Matches
If the tournament is not NCCAA related (i.e. not a Regional or National Championship):
  • It is your responsibility to determine who at the tournament is recording stats, and obtain the .xml game file.*
  • If you are the host, it is your responsibility to record stats for all games, and send necessary game files to teams.
  • If playing against an NCCAA member, the higher seeded team is responsible to submit the .xml game file to the NCCAA after each game. If schools are not seeded, both schools must agree who is responsible to submit the .xml game file.*
  • If playing against a non-NCCAA member or NCCAA associate member, it is your responsibility to submit the .xml game file to the NCCAA.*
  • Note: You will need to confirm the tournament stat recorder is using an approved stat program (DakStats, Genius Sports, PrestoSports, StatCrew), then follow the upload instructions for that program, including manipulating the file if needed, at www.thenccaa.org/helpcenter.
*If there is no official stat recorder at the tournament, whoever is deemed responsible to submit the .xml game file is also responsible to record stats.
If the tournament is an NCCAA Regional or National Championship:
  • The host of the tournament is responsible to record stats.
  • If the host is playing in the game, it is their responsibility to submit the .xml game file to the NCCAA.
  • If the host is not playing in the game, it is their responsibility to share the .xml game file with the participating schools immediately following the game. The higher seeded team is then responsible to submit it to the NCCAA.
  • Note: You will need to confirm the host is using an NCCAA approved stat program, then follow the upload instructions, including manipulating the file if needed, at www.thenccaa.org/helpcenter.
  
M/W Soccer Yellow & Red Card Stats Reporting
  • It is recommended that the official statistician verify with officials the accuracy of yellow/red card statistics reporting at the conclusion of each match. Official XML statistics should be used to verify necessary suspensions for yellow card accumulation for all NCCAA regular season and postseason contests. Failure to accurately report cards is subject to additional penalty. 
  • For statistical purposes, any individual receiving two cautions in the same game will be charged with one yellow card and one red card for accumulation purposes. 
 
Disagreements on Game Stats
  • The host school is considered the official statistician.
  • The visiting school has 72 hours after the game file has been uploaded to the NCCAA website to challenge stats. After 72 hours, the stats are deemed official.
  • Both schools must come to an agreement, but the host school has the final judgment.
  • If an agreement is made to change a statistic, within 48 hours the host should make the change, resubmit the game file, and notify the visiting school that the change has been made.
  • The visiting school is not permitted to alter and resubmit the game file unless both schools agree.
  
Game File Submission Deadline
  • Game files should be submitted to the NCCAA within 1 hour after the game, but no later than 48 hours. However, the mandatory deadline for weekly game files to be submitted to the NCCAA is Tuesdays at Noon (EST). Any amount of missing game files in a week will count as a missed report, and existing penalties in the NCCAA handbook for a missed stats report will be enforced.
  
Baseball & Softball Spring Break Exception
  • Baseball & softball teams typically play a high number of games during their spring break. If needed, a one week extension may be requested to submit your spring break game files. You must reach out to Jesse Campbell at jcampbell@thenccaa.org no later than one week in advance before your spring break to make this request.
  
Volleyball Tips
Volleyball is inherently difficult to record stats for and may require 3 people. Below are some options for recording volleyball stats (in order of preference):
  1. The host records stats for both teams.
  2. The host records stats for both teams with the help of an SID or representative from the visiting school.
  3. The visitor records stats for both teams and assumes responsibility to submit the .xml game file to the NCCAA.
  4. The host (or visitor if agreed upon) utilizes video after the game to record both teams’ stats. (Visitor would assume responsibility to submit the .xml game file to the NCCAA.)
  5. Both teams utilize video after the game to record their own stats. The visiting team then sends their stats* to the host, who then creates an .xml game file by entering in both teams’ stats. (*hand taken stats or in the form of PDF or html)
